1. Who We Are

Ken from Finance ("Service") is operated by Roulette Technologies Pvt Ltd ("Company", "we", "us"). This policy explains what data we collect when you use the Service — including our Slack app, web dashboard, and email ingestion — why we collect it, and the choices you have. 2. Data We Collect

Account data. Name, email address, company name, and authentication credentials (managed by our auth provider; we never see your password). If you sign in with Google or Microsoft, we receive your name and email from that provider.

Invoice documents and extracted data. The invoice files you upload via Slack, email, or the dashboard, and the structured data extracted from them: vendor details, amounts, line items, dates, tax identifiers, and payment terms. This is the core data the Service processes on your behalf.

Slack workspace data. When you install our Slack app, we store your workspace ID, the OAuth tokens needed to operate, and the identity (name, email) of users who interact with Ken. We only read messages and files in conversations where Ken is directly involved — direct messages with Ken and threads where invoices are shared. We do not read your other channels or message history.

Usage data. Product analytics (pages viewed, features used) collected to improve the Service. We do not sell this data or use it for third-party advertising.

3. How We Use Data

We use your data solely to provide and improve the Service: extracting invoice data, detecting duplicates, validating against contracts, routing approvals, sending notifications, providing support, and billing. We do not sell personal data. We do not use your invoice documents or extracted data to train AI models.

4. AI Processing

Invoice documents are processed by Google's Gemini API to extract structured data. Documents are sent to Google for inference only, under terms that prohibit Google from using them to train models. Extraction results are stored with confidence scores so your team can verify anything the AI was unsure about.

5. Where Data Lives and Who Processes It

We use a small set of subprocessors to run the Service:

  • Supabase — database, authentication, and file storage
  • Vercel — application hosting
  • Google (Gemini API) — AI document extraction
  • Slack — messaging integration you install
  • Twilio SendGrid — inbound invoice email processing
  • PostHog — product analytics

Each subprocessor is bound by its own data-processing terms. Data is encrypted in transit (TLS) and at rest. Access within your account is governed by role-based permissions and row-level security.

6. Retention and Deletion

We retain your data for as long as your account is active. Audit trails of invoice activity are kept for the life of the account because they are a compliance feature of the Service. When you delete your account or your workspace uninstalls the Slack app, we delete your data within 30 days, except where law requires longer retention. You can request export or deletion at any time by emailing [email protected].

7. Your Rights

Depending on your jurisdiction (including GDPR and similar laws), you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. We honor these requests for all users regardless of location. Where we process invoice data on behalf of your employer, your employer is the data controller and we act as processor — direct requests to your administrator or to us and we will coordinate.

8. Cookies

We use essential cookies for authentication and session management, and analytics cookies to understand product usage. We do not use third-party advertising cookies.

9. Changes to This Policy

We will post any changes on this page and update the date above. For material changes, we will notify account administrators by email or in-product notice before they take effect.
